Research Repository Guidelines

Contributors to Research Repository must be members of XJTLU community at the time of publication or submission. They can deposit by logging in to Research Repository with their active XJTLU IDs.

Notice:

Members of XJTLU community must ensure the correct and consistent use of a Xi’an Jiaotong-Liverpool University institutional affiliation in research publications. Please refer to Guidelines on Institutional Affiliation in Research Publications for more details.

In general, Research Repository seeks to archive and preserve all scholarly output authored by XJTLU researchers. To be specific, we accept academic publications (e.g., journal articles, conference papers, book chapters) with their supplementary materials.

Meanwhile, XJTLU reserves the right to reject materials that are not appropriate for Research Repository. Materials that do not meet the criteria of scholarly output include:

• Teaching materials such as lecture notes and reading lists;
• Multimedia teaching resources not related to research outputs;
• Administrative materials such as committee papers and administrative reports.

An article goes through different phases from its draft to the final published, definitive version:

• Submitted Version (aka ‘Pre-print Version’): the version of the work initially submitted to a journal publisher for consideration, or any earlier draft.
• Accepted Version (aka ‘Post-print Version’): the version of the work accepted by the journal for publication, including all modifications from the publishing peer review process.
• Publisher’s Version (aka ‘Record Version’): the version of the work distributed by the publisher to readers of the journal, incorporating any copy editing done by the publisher, showing the final page layout and formatting of the published version, and possibly including the publisher's logo.

Research Repository accepts all the three versions of one’s research output. However, whether you can make only one of, or more than one of these versions available through Research Repository depends on your publication option.

If you have published your research in an open access journal, we can typically make all the three versions of your work available in Research Repository. If you have not published open access, you need to check your publishing agreement and/or the publisher’s website for copyright and permissions policies before deciding which version can be included in Research Repository. The SHERPA/RoMEO website, which provides a summary of major publishers’ copyright and archiving policies, can be your additional reference during the decision.

If your work applies an embargo, it can still be deposited to Research Repository, but will not be made publicly visible until the embargo period has expired. During your deposit process, you will have the option to specify your embargo period.  

Research Repository recommends the use of particular file types in order to ensure the submission and downloading of files. Currently, Research Repository is able to accept files in PDF and compresses file formats (*.rar, *.zip, *.7z). Please deposit all full text in PDF format with the file not exceed 500M. If you wish, you can deposit supplementary materials (including but not limited to metadata, images, and videos) in compressed file format (*.rar, *.xip, *.7z).

Scholarly outputs from all fields, subjects, and disciplines at XJTLU may be deposited to Research Repository, provided the following conditions are met:

• The work must be wholly or in part produced or sponsored by members of XJTLU community.
• The work must be educational or research-oriented.
• The work must be in digital form (or convertible to digital form) and ready for public dissemination.
• The work must be complete and ready for distribution.
• The work must not be ephemeral; contributions are intended to be a permanent part of the repository.
• The information you provide about the submission is accurate and does not contain any confidential information, proprietary information of others or export controlled information.
• The author/copyright owner must be willing and able to grant XJTLU the non-exclusive right to preserve and distribute the work in perpetuity.
